General Questions

Once registered, you will receive an email invitation to join the event.

Step 1: Click on “Verify Registration” to proceed.

Step 2: Check the box next to “I'm not a robot” to continue. If prompted, complete the reCAPTCHA. NOTE: The reCAPTCHA is a security measure we have in place to make sure there are no bots accessing events. In some cases, you will be prompted to complete a reCAPTCHA. In others, only checking the box will be sufficient. Some users may not see the reCAPTCHA screen at all.

Step 3: Check the box to agree to the Terms & Conditions; click “Continue.” (If you do not agree, you can click on the red text underneath the “Continue” button to “Decline invitation and remove my data from Hopin.”

My Agenda is an area on the activity panel of an event that enables you to view and manage your personal meetings and any scheduled activities that you want to attend during the live event. Once you enter the event, you can add items from the event schedule to your agenda to keep track of the scheduled sessions you'd like to attend.

There are two ways to add a schedule to your agenda:

Option 1: Go to the “Reception” area of the event and find the “Schedule” section. From within each section of the schedule, you can click the blue “Add to my Agenda” text.

Option 2: Click on the “My Agenda” tab of the event and click on “View event schedule” which takes you straight into the event schedule on the reception page, as outlined above.

In addition to scheduled presentations and sessions, you may also schedule 1:1 meetings with other participants. By default, all your scheduled 1:1 meetings are included in your agenda. These can be filtered by date.

NOTE: With items in your agenda, you will be notified in the notification area (at the top right of the event) when it is time for each session or meeting. To remove an item from your agenda, select the item, click the three-dots by the item, and then click “Remove this item.”

Removing Agenda Items

While all RingCentral events can be accessed by attendees on a mobile browser, it does have some limited compatibility and it is not recommended. You will be able to view Stages, Sessions, Expo booths, use the chat feature, and respond to meeting invites. You will not be able to screen share.

Networking on Ring Central (formerly Hopin Events) is the place for automated one-on-one meetings and is the platform’s way of facilitating connection discovery at an event. Similar to an experience that feels like FaceTime or Hangouts, Ring Central pairs two people over a direct video call.

In Networking, when someone clicks on the JOIN button, the system searches for someone else who has also clicked the JOIN button. If someone else is available, the person's profile details show up on the screen for some seconds and then the two are matched instantly and the video chat begins and lasts for a preset amount of time.

Networking sessions have a 3-minute duration and can be extended for another 3-minutes, as desired. Attendees see a timer countdown on the top side of the screen. When the time expires, the meeting ends. For longer conversations, we recommend utilizing the 1:1 or Meetings functions.

Yes, you can! The chat area within your event is a great way of connecting with attendees and improving the event experience. The Chat function is available in multiple places within the event platform.

Event Chat: From the Reception area, find the chat tab of the event area on the right side, then use the chat box at the bottom to type your message. This chat box allows you to interact with all of the attendees and speakers for the entire event.

Session Chat: Within each session, you will also find a chat tab for that specific session on the right side. Use the chat box at the bottom to type your message. This chat box allows you to interact only with the attendees in this particular session.

You can even message another attendee directly to get to know them better or give our speed networking a try to be paired randomly with another conference participant!

Yes, you can! If you would like to talk directly to other attendees, you can make the most of the “Invite to video call” and “Schedule a meeting” features to foster connections within our event.

While the Networking Area promotes randomized connections, you can connect further by scheduling private meetings and video calling with up to 19 other people. This can be done within the People tab of the event by selecting "Schedule a meeting" at the bottom of the tab. Alternatively, you can locate the profile of the attendee that you would like to meet with and select "Schedule a meeting" from within their profile.

Clicking that button will open a panel with the following information for you to enter:

  • Meeting Title
  • Start date/time
  • End date/time
  • Select recipients: You may invite up to 19 attendees to a meeting

Meeting Detail Panel

After an invitation is accepted, any users invited to this meeting will be notified five (5) minutes before the meeting is about to start, and again when the meeting is starting. The notification will take the attendees directly into your meeting room.

In preparation for the event, we recommend taking the time to allow Ring Central (formerly Hopin Events) to have access to your camera and microphone in your Chrome browser.

When joining a Networking session, 1:1 video conference with another attendee, or being invited to participate in a Session, Chrome will ask for permission to use your microphone and camera. If it does not, or you accidentally disable permissions, we have provided directions below to fix your issue:

  • At the top right, click More Settings.
  • Click Privacy and Security >> Site settings >> Camera or Microphone.
  • Select the option you want as your default setting.
  • Review your blocked and allowed sites.

 

To remove an existing exception or permission, click Delete to the right of the site.

To allow a site that you already blocked, under Not Allowed, select the site's name and change the camera or microphone permission to Allow.

If you have followed the directions above and are still encountering issues, we recommend the following actions: 

  1. Please ensure that your version of Chrome is up to date with the newest version. For details on how to do this, please click HERE.  
  2. It has been found that issues can arise from data stored in your browser’s cache and cookies. After you clear your cache, please close out all instances of Chrome that are active on your computer and then re-open Chrome. For more information on how to complete this process, click HERE.

As an attendee, you can toggle Closed Captions on and off at any time with a simple click of a button. NOTE: Captions are only available on Desktop versions of Ring Central (formerly Hopin Events) and with the Chrome Browser. At this time, Hopin only supplies closed captions in English (American, British, and Canadian). 

To enable Closed Captions, once in a session, click the CC button at the bottom of the screen.

Once you have clicked the icon, the video displays will become smaller, and you will see the captions being generated underneath. The captions will show who said what so that it is easy to follow the conversation.

If your captions appear to be out of sync, or are showing incorrect words, it could be for a number of reasons:

  • Your internet connection is unstable;
  • A different language is being spoken; or,
  • AI-generated captions are not always completely accurate so there may always be some errors.

 

To turn closed captions off again, click the CC button once more and the video displays will return to full view.

Portions of this conference will be live-streamed, and all sessions (virtual and in-person) will be video/audio taped. By registering, your attendance at, or participation in, this conference constitutes your consent to the use and distribution by Rutgers of the attendee’s image or voice for informational, live-stream, publicity, promotional, and/or reporting purposes in print or electronic communications media. Video recording by participants and other attendees during any portion of the conference is not allowed without special prior written permission from Rutgers. Photographs of copyrighted PowerPoint or other slides are for personal use only and are not to be reproduced or distributed. Do not photograph any such images that are labeled as confidential and/or proprietary.

In order to share your screen within the RingCentral (formerly Hopin Events) platform, please ensure that your Mac has proper permissions allowing for Chrome to record your screen. To complete this process, please review the following steps: 

1. When first attempting to share your screen, Mac OS will open a dialogue box advising you that “Google Chrome” would like to record this computer’s screen. Please click OPEN SYSTEM PREFERENCES. If you do not see the dialog box, please open SYSTEM PREFERENCE >> SECURITY AND PRIVACY >> SCREEN RECORDING

2. In the Screen Recording section, click the box next to Google Chrome to allow screen sharing. Please be advised that you may need to UNLOCK your system to make this change. Please do so from the button in the bottom-left.

3. Next, click QUIT NOW in the dialog box. You will not be able to screen share until you quit and restart Chrome.

4. Rejoin the event. You should now be able to share your screen! 

Accessibility Questions

We strongly recommend using the Chrome browser on a desktop or laptop computer. Please ensure that your version of Chrome is up to date with the newest version. For details on how to do this, please click HERE.

It has been found that issues can arise from data stored in your browser’s cache and cookies. After you clear your cache, please close out all instances of Chrome that are active on your computer and then re-open Chrome. For more information on how to complete this process, please click HERE.

Any materials that have been provided to us by the presenters, and approved for distribution, will be made available to all attendees as they become available. You can click on the desired Session description either on the RUOnlineCon website or from within the Ring Central (formerly Hopin Events) conference platform schedule.

Sessions will be recorded and made available within the Replay section of the platform after the session has been completed. 

NOTE: Captions are only available on Desktop versions of Ring Central (formerly Hopin Events) and with the Chrome Browser. At this time, Ring Central only supplies closed captions in English (American, British, and Canadian). 

Head to the Replay area and find the recording that you would like to watch, and click the CC button at the bottom of the screen. This will open a small panel where you can select:

•    captions settings
•    captions off
•    English

•    Click on Captions Settings to change the appearance of the captions. Here, you can change the text color, text size, background color, and even the font. Just make your selection from the respective drop down lists.
•    Click Done when you are finished to close the panel and return to the video.


•    Once you have turned the captions on and configured your settings, you will see the captions displayed over the video feed, as shown below.

As an attendee, you can enable Closed Captions (CC) within the Stage, specific Session, Expo, or Networking areas by clicking on the CC button at the bottom of the screen you are viewing. You will be able to enable CC during any live session or event on the main stage, such as the Keynote presentation.

Closed Captions are available in several areas of the Ring Center (formerly Hopin Events) conference platform: Stage, Sessions, Expo, and Networking. In all other areas, please use the chat feature to communicate with other attendees. Please visit How to use the chat area during an event for more information.

Day of the event: if you are unable to access the Hopin conference platform and need assistance, please go to the Live Chat on the RUOnlineCon website, and we will assist you.

During the event: Once you are in the Ring Central (formerly Hopin Events) platform, visit the Expo area from the left sidebar and join the Conference Support booth to get live technical help.
